Privacy Policy

Bramguard Holdings Inc. (Bramguard) is a marketing consulting firm carrying on business under the trade style of KIT Services. Bramguard provides marketing, mailing, data management and back-office support services to small businesses in the service sector to assist in promoting and developing relationships with existing and potential clients.

Our Clients:

Our clients are small business entrepreneurs, primarily, but not limited to, the financial services sector. Our services include the development and maintenance of web sites and promotional marketing pieces, the mailing of promotional letters and materials to prospective third party clients, and the development and management of ongoing client contact programs with existing clients.

Our Clients' Clients:

Ongoing client contact programs involve maintenance of databases of client information supplied by our clients and the mailing of letters and promotional materials to those clients based on the program selected.

Collection of Information:

Bramguard does not directly collect information from the public. No personal information is collected from visitors to our web site, and no cookies are placed on third party computers from visitors to our web site.

Bramguard does maintain databases collected from public records and providers of directories and publications. This information is used by our clients in the solicitation of potential third party clients. This information is considered public domain, and consent for it's use is deemed to have been granted to the publishers.

Bramguard maintains databases of personal information collected on behalf of it's clients in the day to day operation of their businesses. This information is used for marketing purposes on behalf of those clients to their existing clients in the solicitation of additional business and services and in providing timely information to those clients about the provider's products and services, or relating specific information to those clients about their individual investments / mortgages / products / services. Bramguard has no direct interest in the data, other than for the services provided on behalf of it's clients.

Management of Data:

Client information is maintained in segregated databases allocated to each one of Bramguard's clients. Each database is readily identifiable as to the client. All information is maintained and utilized solely for the purposes of the services contracted with Bramguard. No data will be shared between clients, and no data will be used, given or sold to any other client or to any third party without the express written consent of the Bramguard client. The information will not be used by Bramguard for any other purpose other that which is expressly contracted for.

Databases are maintained on secure computers in accordance with industry standard practices for database maintenance and backup.

Where hard-copy information is supplied for the manual updating of database information, all hard copy information is shredded immediately after information is entered into the database.

Where copies of databases are e-mailed for coordination of databases between Bramguard and the client, all copies of the e-mail and it's attachments are removed from the computer as soon as the databases have been synchronized.

All client databases are the property of the individual clients, and are maintained by Bramguard for the sole purposes as indicated between the parties. It is understood that in many cases the database maintained by Bramguard will be a mirror database of the one maintained by the client. Upon written request by the client, upon termination of services between the client and Bramguard, all personal client data will be removed from Bramguard's computers and databases.

Consent to the Collection, Use and Disclosure of Personal Information:

Bramguard assumes no responsibility for the accuracy of information supplied by it's clients. As a provider of third-party marketing and administrative services, the data is used solely for the purposes contracted by our clients. It is deemed that the necessary consents to the use of this information has been obtained by our clients.

Bramguard will not disclose this information to any third party under any circumstances without the express written consent of our client (who is the de facto owner of the information).

The information will be retained in our databases until the client advises that it is no longer required for the purposes as contracted with Bramguard, or within 12 months after the services which have been contracted for have been terminated, whichever is sooner.

Individual Access:

Under the Personal Information Protection and Electronic Documents Act (PIPEDA), an individual is entitled to access the personal information held about them. However, as Bramguard is only acting as an agent in the provision of services to the client, we will only confirm the presence of such information, and request the person contact the actual owner of the information (Bramguard's client) for confirmation of the content.

This policy is made under the Personal Information Protection and Electronic Documents Act. This Act provides additional exception and privacy principles that are not set out in this document.
